Job Title: Visa Booking Assistant Full-time

Reports to: Visa Processing Manager /Operations Manager

Job Summary:

The Visa Booking Assistant will assist clients in preparing, submitting, and tracking their visa applications, including coordinating appointments at embassies or consulates, organizing necessary documentation, and liaising with relevant authorities. This role demands excellent communication skills, attention to detail, and the ability to manage multiple applications simultaneously. The Visa Booking Assistant ensures that the visa process runs smoothly, efficiently, and in compliance with the legal requirements of each destination country.

Key Responsibilities:

•   Visa Application Management: Assist clients with their visa applications, ensuring that all required forms and documentation are complete, accurate, and submitted on time.
•   Appointment Scheduling: Book visa application appointments at embassies, consulates, or visa centers, coordinating dates and times with clients’ travel schedules.
•   Document Preparation & Review: Help clients gather and review necessary documents, including passports, photographs, financial statements, invitation letters, and other supporting materials.
•   Client Communication: Serve as the primary point of contact for clients throughout the visa application process, providing updates, answering questions, and guiding them through complex requirements.
•   Follow-up & Tracking: Monitor the status of visa applications, follow up with clients or authorities as needed, and ensure that all deadlines are met.
•   Travel Coordination: Assist in booking flights, hotels, and other travel arrangements that coincide with visa appointments or travel plans.
•   Issue Resolution: Handle any issues that arise during the visa process, such as missing documentation, delays, or visa denials, and work with clients to resolve them efficiently.
•   Record Keeping: Maintain accurate and organized records of visa applications, including client information, submission dates, and application statuses.
•   Payment Processing: Manage any visa application fees, including ensuring that payments are made correctly and on time.
•   Compliance: Stay up-to-date on visa regulations and requirements for various countries and ensure that all visa applications comply with the current legal standards.

Qualifications:

•   Proven experience in visa processing, travel coordination, or administrative support roles.
•   Familiarity with visa application processes for various countries (experience with specific countries is a plus).
•   Excellent attention to detail and organizational skills.
•   Strong verbal and written communication skills, with the ability to explain complex procedures clearly.
•   Ability to manage multiple applications and deadlines simultaneously.
•   Proficiency in using visa application software, booking platforms, and Microsoft Office Suite.
•   Experience in customer service or client management.

Preferred Skills:

•   Knowledge of visa regulations for key countries (e.g., the US, UK, Schengen Area, etc.).
•   Multilingual skills or fluency in languages relevant to client base.
•   Previous experience working in a travel agency, immigration office, or visa consultancy. NB We can provide in house training. 
•   Problem-solving skills to handle complex visa application cases or issues.

Work Environment:

The Visa Booking Assistant typically works in an office environment, with occasional travel to embassies or visa centers as required. Some roles may offer remote work flexibility or require handling international clients across different time zones.
